Overview

We've introduced an enhancement to the Simpro to QuickBooks Workforce Integration that provides greater control over which employees receive newly synchronized jobs.

Previously, every new job synchronized from Simpro was automatically assigned to all employees in QuickBooks Workforce, regardless of whether the job was synchronized automatically or manually through the integration.

With this update, the Assigned to all option is enabled by default, while allowing you to select specific employees or groups when you need more targeted job assignments.

What's Changed?

Previously, every new Simpro job synchronized to QuickBooks Workforce was automatically assigned to all employees. This applied to both automatically synchronized jobs and jobs manually pushed through the integration.

With this enhancement:

• The Assigned to all checkbox is selected by default.
• All new synchronized Simpro jobs will continue to be assigned to all QuickBooks Workforce employees unless specific employees or groups are selected.
• When you select one or more employees or groups, the Assigned to all checkbox will automatically be unticked.
• Jobs will then be assigned only to the selected employees or groups.

Once configured:

• All new jobs synchronized from Simpro will be assigned according to the selected assignment settings.
• If an existing synchronized job is updated through the integration, the job assignment will also be updated based on the current assignment settings.
• If Assigned to all remains selected, jobs will continue to be assigned to all QuickBooks Workforce employees.

This enhancement provides improved control over job assignments while maintaining the existing behavior by default.

How to Configure

To configure job assignments:

1. Log in to app.syncezy.com.
2. Open your QuickBooks Workforce Integration.
3. Navigate to API Settings.
4. Locate Select QuickBooks Time Assignees for Simpro Jobs.
5. Choose the required assignment option:
   • Leave Assigned to all selected to assign jobs to all QuickBooks Workforce employees.
   • Select specific employees and/or groups to assign jobs only to those users. Selecting employees or groups will automatically disable Assigned to all.
6. Save your changes.

Once saved, all future synchronized jobs and updates to existing synchronized jobs will use the selected assignment configuration.

Default Behavior

By default:

• The Assigned to all checkbox will be ticked.
• New Simpro jobs synchronized to QuickBooks Workforce will be assigned to all QuickBooks Workforce employees.
• If employees or groups are selected, Assigned to all will automatically be unticked and jobs will only be assigned to the selected users or groups.

This ensures existing customers continue to receive the same behavior without requiring any configuration changes.

This enhancement allows you to:

• Assign jobs only to relevant employees or teams when required.
• Maintain the existing "Assigned to all employees" behavior by default.
• Reduce unnecessary job assignments.
• Improve workforce organization and scheduling.
• Have greater flexibility and control over synchronized job assignments.
