Custom File Name Structure for One-Way Sync Tools

The Procore–SharePoint integration now supports a custom file name structure for one-way sync tools. This feature allows you to define how files are named when they are synced, making it easier to identify, organize, and manage documents within SharePoint.
By incorporating relevant metadata into file names, teams can improve searchability, maintain consistency, and streamline document workflows for your team in SharePoint. 

⚠️ Important Note
Changes to the file name structure will be applied globally across all projects that are syncing through this integration.

How to configure a custom file name structure:

  1. Log in to the SyncEzy portal and navigate to your Procore to SharePoint integration.
  2. Go to the Settings tab.
  3. Scroll to the specific one-way tool you want to modify.
  4. Under the tool name, choose or remove the available metadata options to build your ideal naming convention (e.g., adding the Date, Document ID, title, etc., directly into the file name).
  5. Once you are happy with the structure, click Save.
Important: Please note that the changes will apply across all projects syncing through this integration. 


Behavior After Changing File Name Structure

  • New Files:
    All files synced
    after the change will automatically adopt the new file name structure.
  • Existing Files:
    To update the file name structure for files already synced:
    • Option 1: Update the file in Procore. The updated file will sync with the new naming convention.
    • Option 2: Go to the SyncEzy portal, select the tool where the file name structure was changed, and click “Sync ”. This will re-sync all files with the updated naming convention.

Depending on which one-way tool you are configuring, you will have different metadata fields available to build your file name. Review the dropdown options for each tool below to see exactly what information can be appended to your files:

Best Practices

  • Use metadata fields that provide clear identification (e.g., RFI number, date, project name).
  • Keep file names concise but descriptive to avoid confusion.
  • Apply changes during low activity periods to minimize disruption.
  • Always confirm changes by checking a sample synced file after saving settings.

📧 Notifications

Once changes are saved, the system will apply them automatically. No additional email notification is sent for file name structure changes, but you can verify by checking the next synced file.
