Integrating Multiple SharePoint Sites with a Single Procore Environment

Integrating Multiple SharePoint Sites with a Single Procore Environment

Introduction :

Integrating SharePoint with Procore allows for seamless document management and collaboration. One common question we receive is whether it's possible to integrate multiple SharePoint sites with a single Procore environment. The answer is yes, it is absolutely possible, and we already implement this for multiple customers. This article will detail the various configurations available for this integration.

Key Restriction :

One Procore Project to One SharePoint Site: A single Procore project can only be connected to one SharePoint site. You cannot have a one-to-many relationship (i.e., one Procore project connected to multiple SharePoint sites).

Configuration Options

1:1 Configuration

In this setup, each Procore project is connected to a distinct SharePoint site. This is useful when you want to maintain a separate SharePoint site for each project.

Example

  1. Procore Project 1A to SharePoint Site 1A
  2. Procore Project 2A to SharePoint Site 2A
  3. Procore Project 3A to SharePoint Site 3A

This configuration is ideal for projects that require distinct and separate document management systems.
Many-to-One Configuration

In this setup, multiple Procore projects are connected to a single SharePoint site. Each project can have its own folder or document library within the SharePoint site. This configuration is beneficial when you want to centralize document storage and management in one SharePoint site while keeping project documents organized separately.

Example

  1. Procore Project 1A to SharePoint Site 1 (Different folders or Document Library)
  2. Procore Project 2A to SharePoint Site 1 (Different folders or Document Library)
  3. Procore Project 3A to SharePoint Site 1 (Different folders or Document Library)

Practical Use Cases

  1. Large Construction Companies: Companies managing multiple construction projects can use the 1:1 configuration to ensure each project's documents are isolated, enhancing security and organization.

  1. Consulting Firms: Firms managing projects for various clients can use the many-to-one configuration to keep all client-related documents in one SharePoint site, but separated by project folders, simplifying client document access.

  1. Internal Projects: Organizations running multiple internal projects can benefit from both configurations, choosing the appropriate setup based on the project's document management needs.
Conclusion

Both 1:1 and Many:1 configurations are supported, allowing you to tailor the integration to your specific needs. The only limitation is that a single Procore project can only be connected to one SharePoint site. Whether you prefer to have a unique SharePoint site for each project or consolidate multiple projects into one site with organized folders, Procore and SharePoint integration provides the flexibility to achieve your goals.
