Introduction to the RFIs Sync Feature : 

The Procore RFIs Tool Sync with SharePoint allows for the automatic synchronization of Requests for Information (RFIs) from Procore to SharePoint in a one-way sync. This ensures that your SharePoint repository always has the latest RFIs from Procore, stored as PDF files, eliminating the need for manual downloads and updates.

🔐 Permissions Required for RFIs Sync

To enable RFI syncing, admin permissions are required for the RFIs tool in Procore.



🔄 How the RFIs Sync Works

✔ One-Way Sync: RFIs from Procore are automatically transferred to SharePoint as PDF files.
✔ Automatic Updates: Any updates made to RFIs in Procore trigger a new PDF sync, replacing the previous version to maintain accurate records.
✔ Folder Structure: RFIs are organized in SharePoint based on your Procore structure, ensuring consistency and easy navigation.
✔ Access Anytime in SharePoint: Once synced, your RFIs are readily available in SharePoint, making it easier for teams to collaborate using SharePoint for document management.

📌 Step-by-Step Guide to Setting Up RFIs Sync

Step 1: Select the RFIs Tool in Procore

  • Navigate to Procore > Project Tools > RFIs. 


Step 2: Enable Full Project Sync and Select RFIs in SyncEzy


  • In SyncEzy, go to "Add Project to Sync" and choose "Full Project Sync".
  • Ensure that the "RFIs  option is checked.

Step 3: Choose SharePoint Location

  • Select the SharePoint Site where you want the RFIs to sync.
  • Choose the Documents Library and select a folder location.
  • Click "Select This Location".


    📂 Understanding the SharePoint Folder Structure

    Once the sync is enabled, SyncEzy creates a parent folder in SharePoint named “RFIs”. All RFIs will be saved as PDF files within subfolders based on the project structure in Procore.

    To access your RFIs sync history and manage synced files:

    • Go to SyncEzy > File Manager.
    • View and verify all synced RFI PDFs in your designated SharePoint folder.
