New Feature: Multiple Procore Account Authentication

This feature is specifically designed for enterprise environments handling exceptionally large datasets—typically exceeding 2TB+ of data sync size or 100,000+ data items—that frequently encounter Procore API rate limits during heavy synchronization tasks.

Why is this needed?

As a certified Procore Partner, SyncEzy utilizes one of the highest available API call tiers provided by Procore. However, when synchronizing massive amounts of historical data or handling high-volume daily changes, even these generous enterprise limits can occasionally be exhausted.

When the API limit is hit, syncing traditionally pauses until the limit resets. The Multiple Procore Account Authentication feature provides a seamless backup solution to bypass these bottlenecks and ensure continuous, uninterrupted data synchronization.

How It Works

Instead of relying on a single connection, the integration allows you to authenticate additional backup users within the SyncEzy system.

  1. Automatic Switchover: If the Primary User hits the Procore API call limit, the system automatically detects the restriction and instantly switches to a Secondary User to continue processing your data.

  2. Seamless Recovery: Once the Procore API limit for the Primary User resets (which typically occurs after a few hours), the system automatically reverts to using the Primary User.

📝 Audit Trail Note: While the system is actively utilizing a secondary account, any data modified or synced to Procore will appear in your Procore logs as "Modified by [Secondary User Name]". Once the limit resets and the system reverts, the logs will return to showing the Primary User's name.

Configuration Requirements

To ensure data integrity and prevent sync failures, you must adhere to the following setup rules:

  • Maximum Limit: You can add a maximum of 5 Procore users (5 Secondary/Backup accounts) to the rotation pool.

  • Exact Permission Matching: This is a critical requirement. All secondary users must have the exact same permissions, company-level access, and project-level access as the main Primary User. This applies to all existing projects as well as any future projects added to your pipeline.

This feature is currently in the Beta / Development stage. Because it involves complex cross-account API management, we strongly recommend contacting the SyncEzy Support team before enabling it.

How to Add a Secondary User

To configure the Multi-Account Failover feature, follow these step-by-step instructions.

⚠️ Important: Before you begin, make sure you are completely logged out of all active Procore sessions in your current browser. If you remain logged in, the system may automatically connect the wrong account, leading to a false connection.

  1. Log in to the SyncEzy Portal, go to My Integrations, and click blue Details button on your app.
  2. Click the Settings tab, scroll to the bottom, and click the green "Add or update secondary user..." button.

  3. Log in to Procore on the redirect page using the credentials of the secondary account you want to add.
  4. Verify that the new account is now listed under the List of Accounts back in the SyncEzy portal.
Adding Multiple Accounts?

If you wish to add additional secondary accounts (up to the maximum limit of 5 total users), repeat this exact process from the beginning.

Always remember to completely log out of the previous Procore account before clicking the green button again, ensuring you only log in with the specific account you intend to connect next.

Handling Inactive Secondary Users

If a secondary user becomes inactive—which typically happens due to a password change or a modification in their Procore permissions—you will see an "Inactive" status displayed on the right side of that user in the account list.

To resolve this, you have two options:

  • Restore the Account: Correct the permissions or obtain the updated password credentials, then re-authenticate the account by following the standard addition steps listed above.

  • Add a Replacement Account: You can simply add a new secondary user to take its place, provided you have not already reached the 5-user limit.

How to Remove or Reset a Secondary User

Because this feature is currently in Beta, manual deletion is restricted within the user interface.

  • To Delete an Account: If you need to safely remove a secondary user from your rotation pool, please reach out to our team at support@syncezy.com, and we will promptly delete it for you.

  • Exceeded the 5-User Limit? If you have reached the maximum pool of 5 users and need to clear out old or inactive accounts to make room for new ones, contact us at support@syncezy.com. We will remove the inactive users and reset your account slots so you can add fresh ones.
