New Feature Update: Add/Terminate Xero Employee in Simpro–Xero Integration

We’re pleased to introduce a new enhancement to the Simpro–Xero integration that simplifies employee management by automatically synchronizing employee records between the two systems.

Feature Overview

The new Add/Terminate Xero Employee setting enables automatic syncing of employee creation and termination between Xero and Simpro. Once enabled, the integration ensures that employee records remain consistent across both platforms without requiring manual updates.

Currently, this feature is available only for Australian (AU) customers.


How the Feature Works

1. Automatic Employee Creation

When a new employee is created in Xero, the integration will automatically create the same employee in Simpro.

  • Synchronization occurs within approximately 16 minutes.

  • The employee will be synced even if their start date has not yet been reached, as the start date is not considered during the synchronization process.

2. Automatic Employee Archiving

When an existing employee is terminated in Xero, the integration will automatically archive the employee in Simpro.

  • Archiving occurs once the termination/end date is reached.

3. Employee Reinstatement

If a terminated employee is reinstated in Xero, the integration will handle this automatically:

  • If the employee exists in Simpro as archived, they will be unarchived.

  • If the employee does not exist in Simpro (either active or archived), a new employee record will be created.

4. Backdated Termination Dates

If a termination date is set in the past (backdated):

  • The employee will not be archived in Simpro.

  • This happens because employee synchronization operates based on the current date, not past dates.

Employee Pairing

New employees created through this integration will automatically appear in the Employee Pairing section.

To complete the setup, you simply need to:

  • Select the appropriate Simpro profile

  • Assign the required tracking category
