Overview

We're excited to announce an enhancement to the Procore–SharePoint integration that improves how project documentation is synchronized to SharePoint.

Previously, the integration synchronized only PDF files for RFIs, Submittals, Commitments, Forms, and Inspections. With this release, the integration now also synchronizes associated attachments, making it easier for teams to access all related documentation directly from SharePoint.

What's New?

Attachment Synchronization for RFIs, Submittals, Commitments, Forms, and Inspections

The integration now synchronizes attachments associated with:

• RFIs
• Submittals
• Commitments
  
• Forms
  
• Inspections

When attachments exist, they will be synchronized into a dedicated folder created alongside the corresponding PDF in SharePoint.

This allows users to access both the generated PDF and all related attachments from a single location.

Attachment Folder Naming Configuration

A new multi-select dropdown has been added to the Settings page.

This setting allows administrators to select which fields should be included in the attachment folder name.

For consistency and easier navigation, we recommend using the same fields that are currently configured for your PDF naming convention.

What Has Changed?

Previous Behavior

The integration synchronized:

• RFI PDFs
• Submittal PDFs
• Commitment PDFs
  
• Form PDFs
  
• Inspection PDFs

Attachments associated with these records were not synchronized to SharePoint.

New Behavior

The integration now synchronizes:

• RFI PDFs, with:
• Main RFI attachments stored in the dedicated RFI attachment folder.
• RFI Response attachments stored in a Response subfolder within the attachment folder.
• Submittal PDFs, with any associated main attachments stored in a dedicated Submittal folder
• Commitment PDFs, with any associated main attachments stored in a dedicated Commitment folder
  
• Form PDFs, with any associated main attachments stored in a dedicated Form folder
  
• Inspection PDFs, with any associated main attachments stored in a dedicated Inspection folder
• All associated attachments for supported record types

Attachment folders are created in the same SharePoint location as the corresponding PDF, providing a complete view of the record and its supporting documents.

Example: Before and After

Before This Release

Consider an RFI named:

RFI-123 – Door Hardware Clarification

Previously, only the PDF was synchronized:

RFIs/
└── RFI-123 - Door Hardware Clarification.pdf

Any attachments added to the RFI in Procore were not synchronized to SharePoint.

After This Release

If the same RFI contains the following attachments:

The integration will now synchronize both the PDF and the attachments:

RFIs/
├── RFI-123 - Door Hardware Clarification.pdf
└── RFI-123 - Door Hardware Clarification/
    ├── Door Hardware Schedule.xlsx
    └── Response/
        └── Architect Response Sketch.pdf

The attachment folder is created automatically and stored alongside the corresponding PDF. The Response folder is created automatically inside attachments folder when response attachments are available.

Do Existing Customers Need to Do Anything?

For New Records

No action is required.

All newly created or updated RFIs, Submittals, Commitments, Forms, and Inspections will automatically use the new attachment synchronization functionality. If attachments exist, they will be synchronized into the corresponding attachment folder automatically.

For Existing Records

Existing records will continue to function normally.

If an existing RFI, Submittal, Commitment, Form, or Inspection receives a new attachment or is updated with attachments, the integration will automatically:

1. Create the attachment folder in SharePoint (if it does not already exist).
2. Synchronize all associated attachments into that folder.

No manual SharePoint configuration is required.

What Happens to Previously Synchronized Data?

There is no impact on previously synchronized PDFs or existing SharePoint structures.

All previously synchronized PDFs will remain in their current locations.

The new functionality simply extends synchronization to include attachments when they are available.

Example

An RFI may already exist in SharePoint as:

RFIs/
└── RFI-456 - Concrete Mix Design.pdf

If a user later adds an attachment such as:

• Concrete Test Results.xlsx

The next synchronization will automatically update SharePoint to:

RFIs/
├── RFI-456 - Concrete Mix Design.pdf
└── RFI-456 - Concrete Mix Design/
    └── Concrete Test Results.xlsx

The existing PDF remains unchanged.

What If a Record Has No Attachments?

If a RFI, Submittal, Commitment, Form, or an Inspection does not contain any attachments, it will continue to synchronize exactly as it does today.

For example:

RFIs/
└── RFI-789 - Lighting Fixture Location.pdf

No attachment folder will be created unless attachments are added to the record.

Once attachments are added, the integration will automatically create the folder and synchronize the files.

Attachment Folder Naming

A new configuration option is available in Settings that allows you to define the naming convention for attachment folders.

You can select multiple fields that will be used when generating the folder name.

Recommended Configuration

We recommend using the same fields that are currently configured for your PDF naming convention.

For example, if your PDF name uses:

• RFI Number
• Subject

Then the attachment folder should use the same fields:

RFIs/
├── RFI-123 - Door Hardware Clarification.pdf
└── RFI-123 - Door Hardware Clarification/

This provides a consistent and easy-to-navigate structure within SharePoint.

How Can I Apply This to Existing Records?

If you would like the new attachment synchronization to be applied to existing RFIs, Submittals, Commitments, Forms, or Inspections, you can trigger a manual sync.

Steps

1. Navigate to your integration
   
2. Go to File Manager
3. Chooose the desired Project.
   
4. Navigate to the applicable module:
   • RFIs
   • Submittals
   • Commitments
     
   • Forms
     
   • Inspections
5. Click blue Sync button

The integration will process the records and synchronize any eligible attachments to SharePoint.

Limitations

The attachment synchronization feature supports:

• RFIs: Main Attachments and RFI Response attachments.
• Submittals, Commitments, Forms, and Inspections: Only files uploaded to the main Attachments section.

 Supported Attachments

The integration will synchronize attachments that are added directly to the record itself, including:

• RFI attachments
  
• RFI Response attachments
• Submittal attachments
• Commitment attachments
  
• Form attachments
  
• Inspection Attachments

These files will be synchronized to SharePoint and stored in the corresponding attachment folder.

Unsupported Attachments

Attachments added as part of reviews, correspondence, or workflow activities are not currently synchronized for Submittal, Commitment, Form or Inspection

Examples include:

• Submittal Review/Response Attachments
• Commitment Correspondence or Response Attachments
  
• Inspection Response/Activity attachments

For example, if a Submittal contains a file in the main Attachments section and another file attached as part of a Review/Response, only the file in the main Attachments section will be synchronized to SharePoint.

Future Enhancements

Support for response-level, activity-level, review, correspondence, and other workflow-related attachments is not currently available.
