Project Folder/File Sync Best Practices for Administrators: Procore-Box Integration

When integrating Procore with Box, there are common issues that may prevent your folders or files from syncing correctly between the two platforms. This guide outlines the best practices to help administrators ensure successful syncing.

Top 5 Reasons Why Folders/Files May Not Sync

Reason 1: Renaming or Moving Top-Level Folders

Do not rename or move any top-level folders in Procore or Box. This includes the project path folders as well as the Documents and Photos folders inside the root folder. Here’s what you need to know:

  • In Procore, you are free to organize your file structure as needed, as long as the folders/files you wish to sync are within the Documents and/or Photos tools of your project.
  • In Box, you can edit, delete, or add folders/files inside the Documents and Photos folders, but ensure no top-level folders are renamed or moved to another location. Avoid adding any folders/files outside these directories as well.
                                                                                                                                                                                           

     

Reason 2: File Size and Naming Restrictions

When adding files to Procore or Box for syncing, adhere to the following rules:

  1. Ensure individual files do not exceed 955 MB. Larger files must be uploaded manually to Procore or Box.
  2. Avoid files that are 0 KB in size (e.g., blank templates). Files must contain at least one character to be synced (minimum of 1 KB).
  3. Box imposes a file name character limit—ensure that file/folder names do not exceed 255 characters. Longer names will fail to sync.

Reason 3: Premature Deleting or Moving of Folders

Once you’ve added a folder to sync (in either Procore or Box), allow sufficient time for all files to sync completely. Syncing starts with the top-level folder first, followed by the remaining contents. If a top-level folder is moved or deleted before the process is complete, it will interrupt the sync, potentially causing data loss. Wait until all data has synced before making any changes.

Reason 4: Disconnected Integration

Occasionally, the integration between Procore and Box may disconnect, leading to syncing issues. If this occurs, administrators will need to reconnect the Procore or Box account through the SyncEzy portal. You can check the Sync Status menu within your SyncEzy integration for this error.

Reason 5: Initial Sync Delays

After adding a new project to the integration, the initial sync may take some time to complete. Generally, this process can take between 5 to 10 minutes, depending on the complexity of the folder structure. However, for large projects, the initial sync may take 24 to 48 hours. Once the initial sync is complete, you can begin syncing data between the two platforms. You will receive an email notification when the sync is done.
