Sync Employment Hero Leaves to Simpro

Overview

The Sync Employment Hero Future Leaves feature enables automatic synchronisation of future leave requests from Employment Hero (KeyPay) to Simpro.

This feature is currently available for:

  • Australian (AU) customers
  • New Zealand (NZ) customers

How It Works

  • A new toggle is available in Settings.
  • The feature is disabled by default.

Once enabled:
  • Only future leave requests created in Employment Hero will sync to Simpro.
  • The integration automatically checks for new and updated future leave requests every hour.
  • During each sync cycle, the system processes up to 6 leave records.
  • If there are more than 6 leave records waiting to be synced, the remaining records will be processed automatically in subsequent hourly sync cycles until all records have been synced
We are continually improving the integration to increase the number of leave records that can be processed in each sync cycle.

Cancellation Handling

If a leave request is cancelled in Employment Hero, it will be automatically removed from Simpro.

Prerequisites

Before using this feature, ensure the following:

  • Leave types are correctly paired in SyncEzy
  • Employees are paired in SyncEzy before applying leave

Failure to meet these requirements may result in synchronisation issues.

Supported Leave Types

The following leave types are supported:

  • Hour-based leaves
  • Day-based leaves
  • Week-based leaves

Synchronisation Behavior

Hour-Based Leave

  • Synced directly based on hours applied from Employment Hero.
  • Simpro supports scheduling in 15-minute increments only.
  • Supported increments include:
    • 15 minutes
    • 30 minutes
    • 45 minutes
  • Any point-value leave duration received from Employment Hero is rounded to the nearest 15-minute increment before syncing to Simpro.

Examples

  • 7.6-hour leave → Rounded to 7 hours 30 minutes in Simpro
  • 8-hour leave → Creates an 8-hour schedule in Simpro
    • Time: 7:00 AM – 3:00 PM
If an employee works 40 hours per week and 8 hours per day, then:

Day-Based Leave (Based on employee's working hours)

1-Day Leave

  • Synced as 8 hours
  • Time: 7:00 AM – 3:00 PM

0.5-Day Leave

  • Synced as 4 hours
  • Time: 7:00 AM – 11:00 AM

Week-Based Leave

1-Week Leave

  • Synced as 5 separate 8-hour schedules
  • Each day:
    • Time: 7:00 AM – 3:00 PM

0.5-Week Leave

  • Synced as 2.5 days:
    • First 2 days → 8-hour schedules
      • Time: 7:00 AM – 3:00 PM
    • Remaining 0.5 day → 4-hour schedule
      • Time: 7:00 AM – 11:00 AM

For New Zealand Employment Hero, leave requests are restricted to the unit configured for the employee’s leave type. The leave must be applied using the same unit as the leave balance:

  • If the leave type is configured in weeks, the leave must be applied in weeks.

  • If the leave type is configured in days, the leave must be applied in days.

  • If the leave type is configured in hours, the leave must be applied in hours.

Currently, the Employment Hero API may not transmit the correct leave data when the leave is applied using a different unit from the configured leave type.

Example

If an employee works 40 hours per week and 8 hours per day, then:

  • 1 week = 40 hours = 5 working days

  • 1 day = 8 hours

  • 4.5 days = 4.5 ÷ 5 = 0.9 weeks

  • 5 days = 5 ÷ 5 = 1 week

Therefore, if the employee's leave type is configured in weeks:

  • For 4.5 days of leave, apply 0.9 weeks

  • For 1 full week (5 working days), apply 1 week

This ensures that the leave is submitted using the same unit as the leave type balance and that the API can transmit the leave information correctly.

Key Notes

  • Only future leave entries are considered for syncing
  • Sync runs automatically; no manual trigger is required
  • Accurate pairing of employees and leave types is critical for proper functionality
  • Point-value leave durations from Employment Hero are automatically rounded to the nearest 15-minute increment supported by Simpro before syncing
