Overview

SyncEzy has introduced a new paid add-on for the Simpro to SharePoint integration that enables synchronization of attachments from the Plant & Equipment module in Simpro.

This add-on is currently disabled by default. To enable it for your account, please contact the SyncEzy sales team at sales@syncezy.com.

Enabling the Plant & Equipment Add-on

Once the add-on has been enabled by SyncEzy, follow these steps to configure Plant & Equipment synchronization:

1. Go to your SyncEzy sync configuration.

2. Click Automatic Setup.

3. Select Plant & Equipment from the tool dropdown.

4. Select the parent folder location in SharePoint where you want the Plant & Equipment data to be synchronized.

5. Verify the selected SharePoint location.

6. Click Add.

SyncEzy will then start synchronizing Plant & Equipment data from Simpro to SharePoint.

Initial Synchronization

During the initial synchronization, SyncEzy will sync Plant & Equipment records that were last modified within 30 days of the initial sync time.

After the Plant & Equipment records are synchronized, their associated attachments will also be synchronized to the corresponding SharePoint location.

Historical Sync

If you need to synchronize older Plant & Equipment records, historical synchronization is also available.

Historical sync allows you to synchronize Plant & Equipment records that fall outside the initial 30-day synchronization period.

Ongoing Synchronization

After the initial synchronization is complete, SyncEzy will automatically detect and synchronize newly created or updated Plant & Equipment records.

You do not need to manually start a synchronization whenever a new Plant & Equipment record is created or an existing record is updated.

Simpro-SharePoint Folder Structure

In Simpro the folder structure will be as given in the screenshot below.

SyncEzy organizes Plant & Equipment data in SharePoint using the following folder structure:

Attachments are synchronized directly inside the Plant folder. An additional Attachments folder is not created.

For example:

123 - Excavators
    └── 456 - CAT Excavator
        ├── service-record.pdf
        ├── inspection-report.pdf
        └── equipment-image.png

A single Plant Type can have multiple Plant & Equipment records. Each Plant & Equipment record will have its own folder under the relevant Plant Type folder.

Syncing Plant Details as a Text File

SyncEzy also provides an optional setting that allows you to synchronize the raw details of each Plant & Equipment record as a text file.

If you enable the relevant toggle from the Settings tab in SyncEzy Integration:

• A text file will be created inside each Plant & Equipment folder in SharePoint.

• The text file will contain the raw details of the corresponding plant.

• The text file will be synchronized along with the plant's attachments.

• The text file synchronization is one-way, from Simpro to SharePoint.
  

Sync Frequency

SyncEzy continuously checks for changes in Simpro to keep your SharePoint data up to date.

• Changes are generally detected within 1–5 minutes.

• If multiple changes are detected at the same time, they are added to a processing queue.

• Changes in the queue are synchronized sequentially.

• The time required to process a change may vary depending on the size of the data being synchronized.

This ensures that new and updated Plant & Equipment records and their associated attachments are automatically synchronized to SharePoint.

• Historical sync is available for older Plant & Equipment records.

• Attachments are synchronized directly into the corresponding Plant folder in SharePoint.

• One Plant Type can contain multiple Plant & Equipment records.

• The optional text file contains the raw plant details and is synchronized one way from Simpro to SharePoint.

• SyncEzy continuously checks for changes, with changes generally detected within 1–5 minutes.
