Understanding the Payslip File Naming Format in HiBob–Employment Hero Integration

Overview

We have introduced an enhancement to the payslip file naming format used in the HiBob–Employment Hero integration.

This update improves:
  • Security and reliability of payslip syncing
  • File uniqueness to prevent naming conflicts
  • Easier identification of payslips by employee and pay run period
  • Improved traceability for troubleshooting and auditing

This change applies to all newly synced payslips.


New Default Payslip Naming Format

All newly synced payslips will use the following naming convention:

{eh_employee_id}_from_{payrun_start_date}_to_{payrun_end_date}_{unique_timestamp}.pdf

Benefits

Custom Filename Prefix Setting

Customers who have enabled the Filename Prefix Setting will continue to have their configured prefix added to the beginning of the payslip file name.

Important Note

The only change when a custom filename prefix is configured is that the prefix is added before the standard payslip naming structure.


How to Check Your Current Filename Prefix Configuration

To verify whether your integration is using a custom filename prefix:

  1. Navigate to your HiBob–Employment Hero Integration.
  2. Open Settings.
  3. Select HiBob Employment Hero Configuration Setting.
  4. Locate the Filename Prefix Setting toggle.
  5. Check whether the toggle is enabled.
  6. If enabled, review the value entered in the filename prefix field.


Do I Need to Take Any Action?

No action is required.

The new naming format will automatically apply to all newly synced payslips.

You only need to take action if you wish to:

  • Review your current filename prefix configuration
  • Update your existing filename prefix

Will existing payslips be renamed?

No. Existing payslips will remain unchanged. The new naming convention only applies to newly synced payslips.
