How the extension works

How the extension works

The SyncEzy Simpro integration adds a Simpro panel to every ticket in Zoho Desk. From that panel your team can create Simpro quotes and jobs, link tickets to existing ones, and send the ticket status to Simpro, without leaving Zoho Desk.

What you can do

  • Create a quote in Simpro from a ticket.
  • Create a job in Simpro, or turn the ticket's quote into a job.
  • Link an existing quote or job by typing its number on the ticket.
  • Update the status of the linked quote or job to match the ticket.

Every quote or job created or linked this way gets a note in Simpro with a link back to the Zoho Desk ticket, so your team can move between the two systems easily.

How it works at a glance

1. When you open a ticket

The Simpro panel loads on the right of the ticket. It checks your connection and subscription, then loads your Simpro companies, sites, cost centres and tags.

Next, it looks for the ticket's customer in Simpro using the contact's email address:

  1. It first looks for a Simpro customer with that email.
  2. If there isn't one, it looks for a Simpro contact with that email and uses the customer that contact belongs to.
  3. If neither is found, the customer is left blank. What happens then depends on your settings (see Creating a quote below).

If a customer is found, their sites appear in the Site list, with the first site selected. If the customer has no sites, or no customer is found, your default site is used.

If your business has more than one Simpro company, a Company list appears at the top of the panel. The panel remembers the company you picked last. Changing company searches for the customer again in that company.

Tip: If you've just added the customer or a site in Simpro, click Refresh Site to search again.

2. Creating a quote

  1. Open the ticket and check the Company and Site.
  2. Choose Service or Project. For Service work you can also pick a Cost Centre.
  3. Add any Tags, a Due Date and an Order Number if needed.
  4. Click Create Quote.

The quote is named after the ticket subject, and the ticket description is copied into it. If the ticket contact was matched to a Simpro contact, that contact is added to the quote.

If no customer was found:

  • If automatic customer creation is switched on, a new Simpro customer is created from the ticket contact's name, email and phone.
  • If it is switched off, the quote is created against your default customer for that Simpro company.

When the quote is created, its number is saved on the ticket. The panel then refreshes and shows the number as a link (for example QN: 1234).

3. Creating a job

Creating a job works the same way as creating a quote: fill in the panel and click Create Job.

  • If the ticket already has a Simpro quote, that quote is converted into a job. No new, separate job is created.
  • If there is no quote on the ticket, a new job is created.

The job number is saved on the ticket and shown as a link (for example JN: 5678).

Tags and cost centres

Tags: Choose from your existing Simpro tags, or type a new tag name. New tags are created in Simpro automatically and added to the quote or job.

Cost centres: Only available when the type is Service. The cost centre you pick is added to the new quote or job in Simpro. The Cost Centre field is hidden for Project work.

4. Linking an existing quote or job

If the quote or job already exists in Simpro, you can link it instead of creating a new one:

  1. On the ticket, type the number into the Simpro Quote Number or Simpro Job Number field.
  2. The panel looks the number up in the Simpro company currently selected.
  3. If it's found, the panel shows "linked successfully" and the number becomes a link. A link to the ticket is also added to the record's notes in Simpro.

If you see "Quote not found" or "Job not found", check the number and make sure the correct company is selected.

5. Updating the status in Simpro

  1. Change the ticket's status in Zoho Desk.
  2. Click Update Status in the Simpro panel.

The status is matched by name. Simpro must have a quote or job status spelled exactly the same as the Zoho Desk status. If the ticket has a job, the job is updated. Otherwise the quote is updated.

If there is no matching status, you'll see a message and nothing is changed in Simpro. Ask your administrator to add a matching status in Simpro, or choose a different ticket status.

Frequently asked questions

Why was the wrong customer picked?
The panel matches customers by the ticket contact's email address. If several Simpro customers share that email, the first match is used. Keep email addresses unique in Simpro where possible.

Why don't I see the Create Quote button?
Either the ticket already has a quote (you'll see its QN link instead), or your plan doesn't include quotes.

Can I create a job from a quote I already made?
Yes. Click Create Job on the same ticket, and the quote is converted into a job.

Does changing the ticket in Zoho Desk update Simpro automatically?
Only when you type a quote or job number into the ticket fields. Status changes are sent when you click Update Status.

Where do I find the ticket in Simpro?
Open the quote or job in Simpro and look in its notes for "linked from the Zoho Desk ticket ID #", which includes a link to the ticket.
