simPRO to Google Drive (Two-way) Integration Overview


Summary

This guide will give a detailed overview of every section and tab that you can find in your  Simpro to Google Drive integration.

Dashboard


Dashboard tab gives you a detailed information on your added tools/projects. For example, Last active Job/Quote/Site IDs, Size and last synced activities. Please find the detailed explaination of each section below:
  1. Total Data Transferred: Displays the grand total of data transferred across all active tools, measured in GB.
  2. Total Data Deleted : Shows the total volume of data deleted by the system for these syncing tools, measured in GB.
  3. Total Storage by Tool ID:  Displays a bar chart representing the top 10 tools (Jobs, Quotes, or Sites) ordered by their data size.
  4. Total Storage by Tool Type: Displays a pie chart illustrating the total data size distribution across Jobs, Quotes, and Sites.
  5. Simpro Authors Data : Lists Simpro users who have made changes on connected syncing tools in Simpro. The list is sorted from the highest to the lowest number of actions performed.
  6. Google Drive Authors Data: Lists Google Drive users who have made changes within Google Drive across your syncing tools. The list is sorted from the highest to the lowest number of actions performed.
  7. Total data transferred in last 7 days : A table showing the total data transferred (in MB) and the count of files synced over the last seven days.
  8. Recently Synced Tools: A list of tools that have been successfully synced, including their ID, name, and the timestamp of the last sync. The list is displayed from the most recent to the oldest sync.
  9. Activity Logs: Shows specific user actions performed within the portal, such as adding or removing tools, changing settings, or enabling/disabling specific features.


Details 

Simpro-URL

This is the URL of your connected simPRO account.

Google Drive User

This is the email associated with connected GoogleDrive account.

Company ID

This is the connected simPRO company Id.

SyncEzy-Email

This is the email associated with your SyncEzy account.

Plan Details

The Plan Details tab is a summary of your current subscription status. Below is a brief explanation of each text box.
  1. Customer Name: This is the name you signed up with on the integrations portal.
  2. Customer Email: This is the email you signed up with on the integrations portal
  3. Plan Name: This will always be Procore SharePoint Two Way.
  4. Plan Code: This is the code we use internally and it is related to the plan name.
  5. Plan Price: This will show the amount you paid for the integration, depending on the plan tier and how long you have chosen to subscribe for.
  6. Interval of Subscription and Interval - unit of subscription: These two fields are related and specify how many months or years you have opted to subscribe for.
  7. Next Bill Date: This field specifies the next date you will be billed for the subscription.
  8. Subscription Status, Subscription ID, Subscription Number: These three fields are the references to your subscription. If you have any issues with your subscription, you can give either of these to SyncEzy's support team to help you check.
  9. SyncEzy App ID : APP ID associated with your subscription (same as APP ID mentioned on top right side of your integration app.)

Configuration

The Configuration tab is the central location where you can add your Jobs, Quotes, or Sites and select the corresponding folder in Google Drive for syncing.  It also shows the list of tools actively syncing through the integration app. 


How to Set up sync

There are two methods for setting up a sync
Automatic Setup : Only for paid plan. One time set up. Once paired, new jobs/quotes sites will sync automatically. 
Manual Setup : Every job/quote/sites has to be added manually to individual folders. 
To set up , please follow the steps below:
  1. Click on Automatic Setup or Manual set up 
  2. a) For Automatic: Select any of the available tools Jobs/Quotes/Sites that you would like to sync.

    b) For Manual : Select Tool, Enter Tool ID and Verify. Once Verified , It shows name of selected tool with its ID. 

  3. Now select the Drive from the Google Drive list where you would like sync the data to.
  4. Navigate to the folder you want to sync to. Note:  If you have selected an invalid location, there will be a red text saying "You can't select this location".

  5. If a valid location is selected then you will have a button to select / verify the location.

  6. Click on the Save button to add the project to sync.

File Manager

Under the File Manager tab, you can view your files in both Simpro and Google Drive.

Here is an overview of the File Manager menu, based on the updated integration with Google Drive:
  1. Select the tool to view files for Jobs/Quotes/Sites.
  2. Enter/Select the tool number to view associated data items.
  3. Click the Search button to fetch data from the tool in Simpro and Google Drive.
  4. Simpro tool link: This is a direct link to the specific tool's URL in simPRO.
  5. Google Drive URL link : This will redirect user to current folder location in Google Drive. 
  6. Left-side panel: Displays a list and count of all files associated with the tool in Simpro.
  7. Right-side panel: Displays a list and count of all files and folders from the corresponding Google Drive location.
  8. Sync status indicators:
    1. A green tick means files/folders are synced and matching between simPRO and Google Drive.
    2. A red cross means files/folders are not synced, and the unmatched items will be displayed in grey text on either the Simpro or Google Drive side.
  9. Manual sync button: Use this button to trigger a manual sync for the current folder. This is a backup option and should only be used if automatic syncing is not working.
  10. Sync History: By clicking on this encircled "i" icon, user can see the sync history of associated data item. This icon is present near each data item. 


Data View

In the Data view tab, you can view data related to the Simpro to Google Drive sync. You can also export them as an Excel spreadsheet.


Settings

All available sync settings are present under this tab. 

1. Integration Name

This setting is to give a custom name to your integration.  Click on the pencil icon to edit and click save when you are done. You can enter 70 characters maximum.

2. Notification Email 

Enabling this option will send you an email to the SyncEzy-Email about the sync status.
Add emails to receive notifications in the text box under this option. Multiple emails can be added. Separate each email with a comma, like: mail@example.com, mail2@example.com.

3. Default Attachment Settings for new data uploaded from GoogleDrive to Simpro

Email - This will be set as the Default "Email" Property for new attachments when they are added to Simpro from Google Drive.
Public - This will be set as the Default "Public" Property for new attachments when they are added to Simpro from Google Drive.

4. Sync Deletes

Enabling this option will allow you to delete files from both systems if you delete it from one. If you delete a file from simPRO, it will delete it from GoogleDrive. If you delete a file from GoogleDrive, it will delete it from simPRO. If this option is disabled, deleted files will not be synced and you will have to manually remove it from the other system.
 You can of course increase or decrease the limit. Once the limit is hit, the sync will not delete any more files and the sync will email the administrator with the path of the files not deleted. The Sync deletes limit will reset after 24 hours. (Please note that the 24-hour deletion limit reset is based on the file deletion time, which means the 24-hour starts from the time you have deleted the file).

5. Rename Special Characters.

While Google Drive has almost no restrictions on special characters in file names, Simpro has special character restrictions for file and folder naming. Attachment file names cannot include the following special characters:
/ \ ? % * : | " < >.

Enabling this option will replace invalid special characters with a dash (“-”) in file and folder names, allowing them to be synced in both directions

6. Convert Simpro Data To Text  

Enabling these toggles will allow you to convert simPRO job/site/quote to a text file and save it into GoogleDrive folder for better search and discoverability. 
It is enabled by default. This will allow system to add Custom field in Simpro and add the URL of Google Drive folder for associated tool where its data is syncing. 

8. Folder name options

Note: This setting applies to Automatic Sync only.
This feature allows you to customize the naming convention of Google Drive folders for Jobs, Quotes, or Sites. You can include specific attributes (such as Customer Name or Job Name) to be displayed (suffixed) alongside the Job, Quote, or Site ID. This improves organization and makes folders easier to locate. 
Important: We recommend configuring this feature either before setting up the sync or after the initial sync is fully complete. In any case, do not change the folder naming settings while an initial sync is in progress.

Sync Status

In this tab, you can view the sync status - success or failure. The sync runs everyday and you will be able to see when it starts and when it completes.


Sync Reports

Sync reports provide a detailed list of jobs, quotes, and sites that are active and syncing. The data is presented in a tabular format, containing information such as Tool ID, Type, Number of Files, Total Data Size, Last Sync Time, Job URL in SimPRO, and Location URL in Google Drive.
