SimPRO to SharePoint (Two-way) Integration FAQs

Is this tool 100% web-based, or do we need to install an application on a desktop or server?

This is 100% web-based. We integrate the data directly into SharePoint via its API. Individual users do not have to install any SyncEzy apps on their local machines.

We’re going to be turning on multi-factor authentication in SharePoint. Will this cause any issues?

No, only the site admin has to authenticate SharePoint during the initial setup. Once set up, other users simply log in to their normal SharePoint / OneDrive / MS Teams account. The two-factor authentication on users has no effect on the integration.


Setup & Configuration

How much configuration is there?

Configuration is minimal—it takes about two minutes to set up all settings.

Why is my SharePoint site not appearing while configuring the sync?

If you have recently created the SharePoint site, SharePoint can take a few hours to index the site in its API. As long as permissions are correct, the site will appear in the list in some time—usually a few hours, but it can take up to 24 hours.

What are the permissions required for a user to sync?

Sync behaviour & Timeframe

How often does the sync run?

Sync runs automatically every X minutes, based on the selected plan. If a file is added or edited in SharePoint or in SimPRO, SyncEzy detects the modification and syncs the changes between systems.

We want to sync older data of my jobs, can I edit all older jobs to sync them? OR

‘Sync jobs created in the last X days’? How does it work

Editing older jobs  after initial sync will not automatically sync them.

When initially connected, the system will sync:

  1. All Jobs/Quotes modified within the last 30 days prior to the initial connection time, regardless of their creation date.
  2. Sites modified within the last 24 hours.

Once the initial sync is completed, only new jobs, quotes, or sites will sync moving forward. If a job created a year ago is modified after the initial sync, it will not be automatically included. To sync older data, please contact our support or sales team for details on the historical data sync add-on.

What happens with a long-term project that spans a few months?

By default, sync pulls data from the last 30 days. However, once a particular Job or Quote has been added to the sync, it will continue to sync indefinitely—for as long as the project keeps running, regardless of when it was created.If you need historical data for long-term projects that weren’t included in the original sync, let us know, and we can scope and quote that separately.

What triggers the files being transferred?

Once you have made changes to a Job / Quote / Site and hit save, the files will sync when the next sync runs. If the file is large, it can take some time to sync.

Can I add files to SharePoint to sync them to SimPRO right after adding the Job/Quote/Site to integration?

Once you have added a job to the integration, you need to wait for the initial sync to be completed. Initial sync can take a few minutes (depending on the folder structure and file sizes). Once completed, you can add files to either side, and they will sync across.


File & Folder Behavior

Can I rename file names when they're in my SharePoint account?

Yes, you can rename the file within your cloud storage account, and the same name will be synced to SimPRO.

Can I rename my files in SimPRO, and will they update in my SharePoint account?

Yes, you can rename the file within your SimPRO account, and the same name will be synced to SharePoint.

Can I move my files around in SimPRO folders?

You can move files in SimPRO (as long as the file is being moved within the same job/quote/site). The integration will automatically add the files in the new location in SharePoint.

A separate folder is created for quotes, and another separate one for jobs, each maintaining its own attachments. This mirrors SimPRO, where quotes and jobs exist as separate copies.

If I upload a file to my job folder in SharePoint, does it sync back into SimPRO?

Yes, the file will be synced to SimPRO.

I have received a new version of a Drawing / Plan in SimPRO. How do I add it?

  • If the new file has a different name (e.g., GroundFloor_Elevation_Rev_2.pdf), you can add it directly to the folder in SimPRO, and it will be synced to SharePoint.
  • If the file has the same name, delete the old file in SimPRO and add the new one in the folder. The sync will replace the old file in SharePoint.

Can I change the file structure of where the data is stored?

No, for the reliability of the integration, we can’t change where the data is stored in the folders. However, each data type—Jobs, Quotes, and Sites—can have a different master folder setup.

There is also an option to select either a single folder to sync all your jobs/quotes/sites or a separate folder for each job/quote/site i.e. Auto Sync or Manual Sync. Please refer to image below.




Sync Limitations & Exclusions

Is there a size limit on the images or file that transfer across?

The size limit will be dictated by which software you are integrating with and the max upload available. For SimPRO, the limit is 80 MB.

Is there a limit on how many attachments can be sent in 24 hours?

There are no limits.

Do the files transferred into SharePoint count towards my SharePoint storage limits?

Yes, all files & folders synced from SimPRO count towards your SharePoint storage limits. Most SharePoint storage plans are quite generous, so this shouldn’t be an issue.

Can you limit sync items, i.e., if there are some folders on SharePoint that you do not want accessible in SimPRO?

Anything within a project folder will continue to sync. If there are certain files (such as financials) that you don’t want accessible in SimPRO, there are two options to restrict what can be synced:
  1. Store them at a higher folder level outside the synced structure. This way, essential data syncs while other files remain accessible only in SharePoint. This will work better with Manual configuration than Automatic sync, 
  2. Automatic Sync with Shortcut: Use the automatic sync and have a folder shortcut called "Confidential" in the main synced folder for data stored elsewhere in SharePoint that doesn't sync to SimPRO. This way, only the shortcut will sync to SimPRO, while the actual data remains in SharePoint in an unsynced location.


Billing & Plan Details

Where do I go to check the settings and billing details on my SharePoint integration?

You can view your settings, configurations, and billing details by going to the SyncEzy Portal. In the Portal, under Details tab in your integration navigate to Plan Details to see billing details.


General Questions

Can I change the connected SimPRO/SharePoint accounts?

Yes, you can change the connected accounts. Before doing so, please ensure that the new account has the same permissions as the previously connected SharePoint user account, in order to maintain the existing sync as it is.

To reconnect:

  • For SimPRO: Click on Reconnect and enter the new credentials.

  • For SharePoint: Click on Disconnect under SimPRO and then reconnect with the new credentials.

💡 Best Practice: It is recommended to perform reauthentication in Incognito Mode (Private Window) to prevent the integration from automatically picking up authentication from the current login session.

What if I want to completely start fresh from scratch with new accounts?

If you want to reset everything and start fresh:

  1. Log in to your SyncEzy account.
  2. Choose the integration you’d like to edit.
  3. Select "Reset Credentials".

This will reset your credentials on both sides, allowing you to reconnect SimPRO and SharePoint with different accounts. The sync will restart from scratch and resync all files from SimPRO to SharePoint.
