How often does the sync run?
Every 30 minutes. This is currently a two-way sync from Simpro to HubSpot.
IMPORTANT - Please note:
- The system automatically syncs changes every 30 minutes.
- Changes from Simpro to HubSpot sync automatically.
- For HubSpot to Simpro sync, only records with the “Send to Simpro” field set to Yes will sync automatically.
- Once the sync is completed from HubSpot to Simpro, the “Send to Simpro” field automatically resets to No in Hubspot record. Check for errors in Data view tab if the value remains Yes after sync.
The integration syncs every 30 minutes as long as a record has been edited and saved. This can be any edit (ie. adding a full stop to the private note, update of phone number, etc) not just edits to the quotes, contacts or company area. The first sync is sending all information from Simpro to HubSpot and creating records of updates. Once this is done, new records are sent across to Simpro. These occur if they have been created since the last sync window.
Once you have made changes to a Quote / Company / Contact and hit save, the files will be synced in a 30 minute window. (ie. 9:00 , 9:30, 10:00 …)
Yes, the integration is a two-way sync (Simpro to HubSpot and HubSpot to Simpro). Make sure you set the field “Send to Simpro” as Yes in Hubspot to ensure system can fetch the data and sync to Simpro.
Where do I go to check the settings and billing details on my HubSpot integration?
You can view your settings configurations and any billing details by going to the SyncEzy Portal
here. In the Portal, navigate to Plan Details to see billing details.
Is there a limit on how many records can be sent in 24hrs?
There are no limits.
Can I change the HubSpot account?
1. Click on Details for accessing app.
2. On the Integration page kindly click on the “Up arrow” button
3. Click on “Disconnect” under Hubspot to disconnect the existing Hubspot account.
4. Click on Yes where it says "Are you sure you want to reset HubSpot Credentials?"
5. It will disconnect existing account and lead you to a connection page.
6. Please click "Connect" under the Hubspot account, a login page will open where you will need to enter the credentials of the account you would like to connect.
- If you are already signed in to SharePoint, it will automatically connect with that user.
- If you are signed in to one user and wish to connect with a different user , please login to Hubspot with the desired user and then click Connect or use incognito mode of browser.
Can I customise which Quotes are synced from Simpro to HubSpot ?
Yes. Before the initial sync, you can choose to either:
- Sync all quotes from Simpro to HubSpot, or
- Sync only quotes that match selected Simpro quote stages.
To sync quotes based on specific stages:
- Go to the Settings tab.
- Enable the Simpro Quote Stage option.
- This setting only applies to the initial sync.
- Select the quote stages you want to include.
- Finish mapping all other fields, saving the Account Manager to Owner and Salesperson to Owner pairings for last. Once these final two pairings are mapped, the initial sync will start automatically.
Once these steps are completed, the sync will start automatically and only quotes with the selected stages will be synced during the initial sync.
After the initial sync is completed, if a previously synced quote changes to a stage that was not selected in your settings, the integration will still continue to sync and update that specific quote-deal.
If the option Simpro Quote Stage is enabled but none of the stages are selected before initial sync starts, then all quotes will sync to Hubspot (except Archived)
