Overview

The Delete Confirmation feature is an essential tool for managing deletions between Procore and SharePoint. When activated, it provides users with a convenient and secure way to review and confirm file deletions, ensuring that no critical data is removed unintentionally from either platform. This article explains how to enable and use the Delete Confirmation feature, its functionality, and its benefits.

Enabling Delete Confirmation

To activate the Delete Confirmation feature, follow these steps:

1. Navigate to the Details Page: Access the details page within your Procore-SharePoint integration.
2. Enable the Toggle Button: Locate the "Delete Confirmation" toggle button and switch it to the 'ON' position.
3. New Tab Creation: Once enabled, a new option called "Delete Confirmation" will appear under the Data View tab.

Functionality of the Delete Confirmation Tab

The Delete Confirmation tab is a centralized location where you can review and manage files that have been deleted from either Procore or SharePoint. It contains the following features:

• Deletion Log: Displays a list of files and folders that have been deleted from either end (Procore or SharePoint), along with relevant details such as file path, origin, and deletion date.
• Manual Confirmation: Allows users to manually confirm which files or folders should be deleted from the other end.

Important Notes

• Two-Way Deletion Control: When the Delete Confirmation is enabled, deletions are not synchronized automatically between Procore and SharePoint. Users must manually confirm deletions via this tab for two-way deletion to take effect.
• Email Notifications: Users will receive a daily email summarizing the files deleted on that day. This email includes a link that redirects to the Delete Confirmation page for review and action. Please refer to the screenshot below.

Using the Delete Confirmation Feature

Here’s how to manage deleted files using the Delete Confirmation tab:

1. Access the Delete Confirmation Tab:

   • Go to the integration portal, click on the "Data View" tab, and select "Delete Confirmation."

2. Review Deleted Files:

   • The tab displays a list of deleted files along with details such as file path, origin, and deletion date.

3. Filter Deleted Files:

   • Use the filters to sort deleted files by date, project, or other criteria to easily find specific items.

4. Confirm Deletions:

   • You can confirm deletions one by one or select multiple files to delete them in bulk.
   • For convenience, a "Delete All" button is available to remove all listed files simultaneously.
