Weโ€™re excited to announce that SyncEzy now supports automatic synchronization of Procoreโ€™s Forms, Observations, Inspections, and Incidents tools to SharePoint. These new sync options make it even easier to access key project data outside of Procore, helping teams stay aligned, organized, and audit-readyโ€”all without manual work.

Each tool syncs data as PDF documents into your SharePoint environment using a structured, one-way sync that mirrors your Procore setup.


๐Ÿ” Permissions Required for Sync

To enable syncing for these tools, the connected Procore user must have Admin-level access for each tool at the project level.



๐Ÿ”„ How the Sync Works (All Tools)

โœ” One-Way Sync: Data is pulled from Procore and synced to SharePoint as PDF files.

โœ” Automatic Updates: Changes or updates in Procore re-trigger the sync, ensuring SharePoint always has the latest version.

โœ” Organized Folder Structure: Each tool syncs into a dedicated folder in SharePoint, mirroring your Procore project structure for easy navigation.

โœ” Seamless Access: Once synced, files are available anytime in SharePoint, making it easier for teams to collaborate using familiar tools.


๐Ÿ“Œ Step-by-Step Guide to Add Tools to Sync

Step 1: Go to SyncEzy > Add Project to Sync

Select the project(s) you wish to sync.

Step 2: Choose โ€œFull Project Syncโ€

Enable Forms, Observations, Inspections, and/or Incidents as needed.

๐Ÿ’ก Note: For Inspections, only Pass/Fail type inspections are currently supported. This feature is in Beta.

Step 3: Select Your SharePoint Location

  • Choose the SharePoint Site and Document Library

  • Select the target folder

  • Click โ€œSelect This Locationโ€


๐Ÿ“‚ Understanding the SharePoint Folder Structure

SyncEzy will create four top-level folders in your SharePoint structure inside the folder you have chosen to sync project, one for each tool (In these example images, the main parent folder is "Folder 2" in SharePoint):

  • Forms

    • [Root Forms Folder] > [Form Template Name] > [Completed Forms]



  • Observations

    • [Root Observation Folder] > [PDFs]



  • Inspections

    • [Root Inspections folder] > [Inspection Template Name] > [ PDFs]




  • Incidents

    • [Root Incidents folder] >  [PDFs]



This structure ensures your synced data is organized and easy to locate.

You can review and manage your synced files anytime by:

  • Navigating to SyncEzy > File Manager

  • Selecting the relevant tool and project

  • Viewing synced PDFs in your connected SharePoint folder
