Introducing the Procore Commitments Sync with SharePoint!

The Procore Commitments Tool Sync allows for a one-way sync of commitments from Procore to SharePoint. This feature automatically transfers commitment files as PDFs, ensuring that SharePoint always contains the most up-to-date version.

Any updates made in Procore will trigger a new sync, replacing the previous file in SharePoint to maintain accurate records. This eliminates the need for manual downloads and uploads, keeping document management efficient and consistent.


🔒 Permissions Required for Commitments Tool Sync

To enable syncing, Admin permissions for the Commitments tool in Procore are required.


📌 How the Commitments Sync Works

One-Way Sync: Commitment files from Procore are automatically transferred as PDFs to SharePoint.

Automatic Updates: When a commitment is updated in Procore, the new version automatically replaces the previous PDF in SharePoint, ensuring you always have the latest records.

Seamless Access in SharePoint: Once synced, commitment PDFs are stored in your designated SharePoint location, ensuring teams have real-time access to the latest project documents.


📖 Step-by-Step Guide to Set Up Commitments Sync

Step 1: Select the Commitments Tool in Procore


1️⃣ Navigate to Procore > Project Tools > Commitments.
2️⃣ Ensure the commitments you want to sync are available in Procore.

Step 2: Enable Full Project Sync and Select Commitments in SyncEzy

✅ Option A: Add Commitments While Setting Up a New Project Sync


1️⃣ In SyncEzy, go to Add Project to Sync.
2️⃣ Select Full Project Sync and check the Commitments option.
3️⃣ Choose the SharePoint Site where you want the files to sync.
4️⃣ Select the Documents Library and choose the folder location.
5️⃣ Click Select This Location to finalize the setup.


✅ Option B: Add Commitments to an Existing Syncing Project

If the project is already syncing and you would like to add the Commitments tool:

1️⃣ Go to the Configuration tab.
2️⃣ Locate the project from the list. (The project must have been added using Full Project Sync )
3️⃣ Click the Edit button on the right side of the project.


4️⃣ Select the Commitments option.

5️⃣ Click  Select This location and then Add Project to save the changes.
The Commitments tool will then be added to the sync. A corresponding “Commitments” folder will automatically be created in the same SharePoint location where the existing project is syncing, and all commitment files will sync into that folder


📂 Understanding the SharePoint Folder Structure

Once the sync is enabled, SyncEzy creates a parent folder in SharePoint named “Commitments”.


All commitment files will be saved as PDF files within subfolders based on the project structure in Procore.


🔍 View Synced Commitments in SyncEzy File Manager

To access your Commitments sync history and manage synced files:

  • Go to SyncEzy > File Manager.

  • View and verify all synced Commitment PDFs in your designated SharePoint folder.
