We’re excited to announce a powerful new update to our simPRO to Xero integration — the ability to sync allowances directly with timesheets! This enhancement allows for a smoother, more accurate payroll process by ensuring allowances are properly calculated and synced from simPRO activities to Xero.
With this update, you can now:
Create allowances in Xero as either:
Rate per unit (e.g., $20 per unit)
Fixed amount (e.g., $12 )
Pair allowances in SyncEzy under the Activity Pairing tab by linking them with specific simPRO activities
Automatically send calculated allowance values to Xero, along with your timesheet data
Allowances are now tied to simPRO activities and calculated based on time spent on the job. Here’s how the integration works in practice:
In our system:
1 hour = 4 units
This means if an employee performs a simPRO activity for 2 hours, that equates to 8 units.
Let’s say you’ve set an allowance in Xero at $20 per unit.
If an activity in simPRO is recorded for 2 hours (8 units), the synced allowance value will be:
8 units x $20 = $160
If you’ve created a fixed amount allowance of $12 and the activity is also for 2 hours (8 units):
8 units x $12 = $96
This calculated amount will then be automatically added to the timesheet data synced into Xero.
The integration will manage timesheets differently depending on whether allowances are present:
✅ With Allowances:
Timesheets will be automatically approved and included in the employee's relevant pay run.
📝 Without Allowances:
Timesheets will be sent to Draft status, as they were previously.
Only two types of allowances are currently supported:
Fixed amount
Rate per unit
Any other types of allowances configured in Xero will not be considered during syncing.
In such cases, the timesheets will default to Draft status in Xero.
To enable allowance syncing:
Log into your SyncEzy dashboard.
Navigate to the Activity Pairing tab.
Select a simPRO activity and pair it with a Xero allowance (either rate-per-unit or fixed amount).
Save and sync — it’s that easy!
